The short answer
The best restaurant billing software in India produces a correct GST invoice in seconds, handles discounts, split bills, holds and refunds without drama, reconciles cash, card and UPI at day-end, and keeps an audit trail of every change. Shortlist two or three systems, ask the eight questions further down, and choose the one whose day-end report you understood on the first read.
Billing looks like the easiest job in a restaurant. A guest eats, a guest pays, a printer goes zzzt. Then month-end arrives, the cash doesn't match UPI, three bills were "cancelled" by someone nobody can identify, and the GST filing needs numbers that live in four places.

What a restaurant bill must get right in India
GST basics every billing system must handle
For most restaurants, GST on food is straightforward on paper:
- Standalone restaurants, cafés, QSRs and cloud kitchens charge 5% GST (2.5% CGST + 2.5% SGST) with no input tax credit.
- Restaurants in hotels where any room was priced above ₹7,500 per night in the previous financial year charge 18% with input tax credit.
- Swiggy and Zomato orders: since 1 January 2022 the platform collects and pays the 5% GST on food sold through it under Section 9(5), but you still report those sales in your returns (TAXAJ GST guide).
Your billing software should let you set the right tax per outlet and per channel, so the delivery order doesn't get taxed twice and the dine-in bill doesn't get taxed at zero.
Not tax advice
Rates and rules change, and special cases exist. Confirm your set-up with your CA. Your software should make whatever your CA decides easy to apply, not the other way round.
What goes on a GST tax invoice
Rule 46 of the CGST Rules lists what a tax invoice must carry. For a typical restaurant bill that means (GimBooks Rule 46 checklist):
- Your legal name, address and GSTIN
- A unique, consecutive invoice number of up to 16 characters, unique within the financial year
- The invoice date
- Item description, value, taxable value, tax rate and tax amount
- Customer details if the customer is GST-registered, or if an unregistered customer's bill is ₹50,000 or more
- Place of supply where relevant
- Signature or digital signature
Good billing software does all of this without you thinking about it. Great billing software stops staff from breaking the numbering by "just making a new bill."
E-invoicing: does it apply to you?
E-invoicing applies to B2B invoices from businesses above the notified turnover threshold (₹5 crore aggregate turnover). A family eating butter chicken is B2C, so most restaurant bills don't need an IRN. But if you bill corporate clients, run catering for companies or invoice another business, ask your vendor how B2B invoices are handled.
Service charge: the bill line that got a court case
In 2022 the Central Consumer Protection Authority said restaurants can't add a service charge by default. In March 2025 the Delhi High Court upheld those guidelines and dismissed the challenge by restaurant associations (Business Standard; The South First). Service charge must be voluntary and clearly disclosed. If your current software adds it automatically, change the setting today. That's a free compliance fix.
The eight billing jobs your software must handle
1. Speed at the counter
Every second at the counter is a second the queue gets louder. Look for search that finds "pan" and shows paneer, paneer tikka and paan, item favourites, and filters such as veg, egg and non-veg. In Ecomeal's POS, veg, egg and non-veg filters sit at the top of the billing screen, with "Best" and "AI Deal" tags on items so staff know what to push.
2. Discounts with a reason
Discounts are where profit goes on holiday. Your software should record who gave the discount, why, and on what. A good system lets you set item-level offers and combo pricing, instead of staff typing "10% off" from memory.
3. Split, merge and hold
Six friends, one table, four payment methods, one person "will pay you back later." You need splits by item and by amount, merging tables, and holding a bill so the counter can serve the next guest. Ecomeal lets staff hold a bill and charge it when the guest is ready.
4. Cancellations and refunds with an audit trail
Every cancelled item after the KOT went to the kitchen is food that was cooked and not paid for. Your system should require a reason, record the user, and show these in a report. If your current software lets anyone delete a bill quietly, that's not a feature. It's a leak with a user interface.
5. Payments: cash, card and UPI
UPI made payments easy and reconciliation slightly chaotic. Billing software should record the payment mode on every bill and give you a day-end summary by mode, so you can match it to your bank and your drawer.
6. Day-end closing
A good day-end close answers four questions in one screen: total sales, sales by payment mode, discounts and cancellations, and taxes collected. Ecomeal's dashboard compares sales, orders and average bill against the same time yesterday, and splits revenue by morning, afternoon and evening, and dine-in versus takeaway.
7. Customer capture
The bill is the only moment most guests give you their phone number. A billing system that links bills to customers lets you see who's a regular and who stopped coming. Ecomeal's customer screen shows repeat rate, average spend and loyalty tiers, and flags new, VIP, at-risk and inactive guests.
8. Upselling at the moment of billing
This is the one most software ignores. The billing screen is the moment staff are already talking to a guest about food. Ecomeal shows suggested combos inside the bill, and its AI Up Sell feature puts a fresh set of deals for slow-selling dishes on the POS every afternoon. Staff see "AI Deal" on the item, so the suggestion is right there when the guest asks "what's good today?"
Counter wisdom
Your waiter knows the gulab jamun is excellent. Your waiter also knows it's 11 pm and they'd like to go home. Software that reminds them, politely, with a deal attached, sells more gulab jamun than a motivational speech.
Billing workflow: what happens between "order" and "paid"
Every arrow is a place where money can slip: an item that went to the kitchen but not onto the bill, a bill printed but never paid, a payment marked "cash" that was UPI. Software that tracks an order through each status, like Ecomeal's Created, KOT sent, Preparing, Ready, Served and Paid, makes these gaps visible. Our guide to KOT billing software goes deeper on the kitchen side.

Eight questions to ask before any billing software demo
- What's the total yearly price for my outlet, including GST, add-ons and hardware?
- Show me a bill with a discount, a split and a refund. Now show me the report.
- What happens to billing if the internet drops?
- Can a cashier delete or edit a bill after printing? Can I stop that?
- How do Swiggy and Zomato orders appear, and how is their GST handled?
- Can I export all my bills and customers if I leave?
- Which printers and devices do you support?
- Who do I call at 10 pm on a Saturday?
Where Ecomeal fits
Ecomeal is built for independent restaurants, cafés and small chains who want billing that's fast and also helps them sell more. Today it does POS billing for dine-in and pick-up, KOT tracking and printing, holds, custom items, suggested combos, AI Up Sell deals, a synced POS and QR menu, customer loyalty tiers and multi-outlet views.
It costs ₹333 a month + GST billed yearly (₹3,999 + GST), or ₹500 a month + GST paid monthly. Swiggy and Zomato integration isn't live yet, so if delivery apps are most of your business, factor that in.
Three billing set-ups, and what each needs
The single counter (café, QSR, tiffin centre)
One cashier, one printer, a queue. Speed is everything. You need item search that forgives spelling, favourites on the first screen, one-tap payment modes and token numbers. The day-end close should take under two minutes. Discounts should be rare and logged.
Common leak: cashiers giving "regular customer" discounts without recording them. Fix: discount reasons mandatory, reviewed weekly.
The table-service restaurant
Captains take orders, KOTs go to the kitchen in rounds, and the bill is printed at the end. You need running tables, table transfers, splits by item and by amount, and a clear view of which tables are open.
Common leak: items served but never added to the bill because the KOT was handwritten. Fix: every KOT generated from the POS, so the bill and the kitchen ticket come from the same entry.
The hybrid (dine-in plus takeaway plus delivery)
Most Indian restaurants now run all three. Each channel has different packaging, tax handling and margins. You need the POS to label each order type clearly and report them separately. Ecomeal reports dine-in and takeaway revenue separately on its dashboard.
Common leak: packaging charges forgotten on takeaway, or aggregator orders double-counted when entered manually. Fix: order types with their own pricing rules and reports.
A billing day, done right
| Time | What should happen | What your software should show |
|---|---|---|
| Opening | Float counted, outlet marked open | Open time recorded |
| Lunch rush | Fast billing, holds, splits | Orders per hour, peak hour |
| Afternoon | Slow period; push deals | Slow dishes and deals live |
| Dinner | Table turns, KOT rounds | Running tables, KOT statuses |
| Closing | Payment-mode totals match drawer and bank | Day-end summary, discounts, cancellations |
| Next morning | Owner reviews yesterday | Comparison with same time yesterday |
Ecomeal records open and close history per outlet, shows sales against the same time yesterday, and puts AI deals on the POS in the afternoon, which covers most of this day without anyone opening a report.
Red flags in a billing software demo
- "Offline mode is coming." If your internet is unreliable, that's a deal-breaker today.
- Bills can be deleted without a reason. That's a leak, not flexibility.
- Pricing that changes after the demo. Ask for the yearly quote in writing before the second meeting.
- "You'll need our hardware." Sometimes true, often not. Ask which standard printers work.
- No data export. If you can't take your data with you, you're renting your own customers.
Frequently asked questions
What is the best billing software for a small restaurant in India?
One that's quick to learn, produces correct GST bills, logs discounts and cancellations, and has a price you can see. For small restaurants, compare Ecomeal, DineOpen and Petpooja's entry plan, and ask each for the full yearly cost.
Is GST 5% or 18% on restaurant bills?
For most standalone restaurants it's 5% without input tax credit. Restaurants in hotels with room tariffs above ₹7,500 per night charge 18% with input tax credit. Check your specific case with your CA.
Can a restaurant add service charge to the bill?
Not by default. Under the CCPA's 2022 guidelines, upheld by the Delhi High Court in 2025, service charge must be voluntary and clearly disclosed.
Do restaurants need e-invoicing?
Only for B2B invoices when your turnover is above the notified threshold. Regular bills to diners are B2C and don't need an IRN.
Can I use billing software on a tablet or phone?
Many cloud billing systems run on Android tablets or in a web browser. Check printer compatibility before buying hardware.
